JOB DESCRIPTION SUMMARY

The Ministry Coordinator for the Spanish Ministry is responsible for executing, overseeing, and coordinating a wide range of logistical and administrative tasks to support ministry events, programs, and classes. This role requires excellent organizational skills, adaptability, and working effectively with diverse teams. The ideal candidate thrives in a dynamic environment and is committed to excellence in supporting the church’s mission.

This position reports to the Spanish Pastoral Care Pastor.

ESSENTIAL JOB FUNCTION

  • Coordinate and provide logistical support for Spanish Ministry programs
  • Maintain and update databases by capturing and managing event and attendee information
  • Create, review, edit, and submit work orders as requested by the Pastoral Care Pastor
  • Oversee classroom setup and media presentations for in-person and online classes, including managing the ProPresenter platform
  • Prepare and distribute class and event materials, including printing and certificates
  • Assist in reviewing and approving marketing materials for ministry programs
  • Serve as a liaison between hosts, teachers, volunteers, and the event coordinator to ensure seamless execution of classes and events
  • Manage purchases, contracts, and reservations for venues, services, and supplies related to ministry events and classes
  • Organize logistics for special guests, including transportation and accommodations
  • Analyze data, prepare reports, and identify solutions to administrative challenges
  • Oversee Planning Center CRM for registrations, groups, and check-ins for classes and online programs
  • Oversee volunteer screening and updates within the Samaritan system
  • Provide logistical and technical support for recordings and live sessions of Bible Study and video classes
  • Manage Zoom sessions and online platforms for remote classes
  • Respond to inquiries and requests for information
  • Assist with leadership program activities assigned to the Spanish Ministry
  • Collaborate with the event coordinator to ensure smooth execution of ministry events
  • Contribute to team efforts by accomplishing related tasks as needed

OTHER ADMINISTRATIVE TASKS

  • Schedule appointments and manage the calendar for the Pastoral Care Pastor
  • Perform other related duties as assigned

  • Serving as a Prayer Partner or as a volunteer in any ministry of the Church, and
  • Serving our community through local outreaches from time to time when needed by the Church

QUALIFICATIONS

  • Strong written and verbal communication skills in both English and Spanish, with excellent grammar, spelling, and punctuation
  • Proficiency in Microsoft Office
  • Strong analytical and problem-solving skills
  • Ability to work efficiently under tight deadlines
  • Strong organizational skills with the ability to manage multiple projects and set priorities effectively
  • Self-motivated and able to work independently while maintaining professionalism
  • Excellent interpersonal skills and the ability to work collaboratively with diverse teams
  • Experience with event coordination, including vendor negotiations and venue logistics management
  • Technical proficiency with online platforms such as Zoom, Planning Center CRM, and ProPresenter
  • Ability to manage logistics for special guests, including travel and accommodations

EDUCATION & EXPERIENCE

  • BA degree required or equivalent work experience
  • 2+ years of experience working in a ministry setting is preferred
